A flight itinerary for a visa application records the entry date, exit date and cities on your route. The officer compares these with the other documents with your application. Ensure that the flights correspond to your leave letter, insurance, hotels and stated purpose. Differences between these details can lead to questions about the proposed journey.
| What is read first | Entry date, exit date, entry and exit cities |
|---|---|
| Must agree with | Application form, leave letter, insurance, hotel dates |
| Schengen rule to respect | Apply to the main destination; first entry only if stays are equal |
| Safest trip type | Return, unless your real plan is different |
| Travel date buffer | Well after the expected decision date |
What a visa officer takes from the itinerary
An officer spends very little time on each document, so think about what can be read in ten seconds.
- Length of stay. Departure and return dates give the number of days. That number is checked against the days you requested on the form and against your funds.
- Intention to return. A booked flight back to India is one of the documents the Schengen Visa Code lists for assessing whether an applicant intends to leave. It sits alongside your job, family and property ties and does not replace them.
- Jurisdiction. The cities show whether you applied to the right country.
- Plausibility. A route that makes geographic sense and corresponds to the purpose you described.
The officer is not judging whether the ticket is paid. Many authorities tell applicants not to buy before the decision; the reasons are set out in dummy ticket vs real ticket.
Fix the dates on paper first
Do not start with flights. Start with the documents that are hardest to change and make the flights fit them.
- Leave letter or NOC. If your employer has approved leave from 4 to 18 May, your outbound flight cannot be on 2 May. Students should use the college's vacation or no-objection dates; business owners, the dates in their cover letter.
- Invitation or event dates, if the trip is for a conference, wedding or family visit.
- Travel insurance. For Schengen it must cover the whole stay with at least €30,000 of medical cover. Buy it for the flight dates, counting the arrival day and the departure day.
- Hotel bookings. First check-in on the day you land, last checkout on the day you fly out. See proof of accommodation and onward travel.
Watch overnight flights. Most departures from India to Europe or North America leave after midnight or arrive the next calendar day, so the 'entry date' on your form is the arrival date, not the date you leave home.
Entry and exit cities, and the main destination
For a single-country trip this is easy: fly into and out of that country, or explain in the cover letter why you are not.
For a Schengen trip covering several countries, the Visa Code states that the application goes to the state that is the main destination, judged by length of stay or purpose. Only when no main destination can be identified does it go to the country of first entry. Your itinerary and hotel nights must support whichever country you applied to. Six nights in Italy and three in France means an Italian application, even if you land in Paris.
Transit points are not entry points for this purpose. Flying Delhi to Rome via Frankfurt is still a trip to Italy, although your passport will be stamped at Frankfurt, the first Schengen airport.
Choose realistic gateways. Applicants from India typically route through the Gulf hubs or fly direct from Delhi or Mumbai; a routing with three stops raises more eyebrows than it saves rupees on a reservation that costs the same either way.
One-way, return or multi-city
| Trip type | Use it when | Be careful |
|---|---|---|
| Return | Tourist, business and family visits in and out of the same city | Return date must fall inside leave and insurance |
| Multi-city (open jaw) | You arrive in one city and leave from another, e.g. into Amsterdam, out of Rome | Hotels and internal travel must cover the gap between the two cities |
| One-way | Long-stay categories: study, work, family reunion | For a short-stay visa a one-way itinerary undermines the return question |
Category-specific advice is in the guides for student visas and work visas.
Setting travel dates against processing time
Pick travel dates that leave room for the decision. A departure three days after your appointment tells the officer you did not plan, and can leave you with a visa that starts after your own flight. Retrieve the current processing time on the official site for your category and add a margin. The reservation itself should be made a few days before submission so that it is live when the file goes in.
Mistakes that weaken an itinerary
- Dates on the form, cover letter and itinerary differing by a day.
- A stay longer than the leave your employer approved.
- Applying to one Schengen country while the nights favour another.
- An itinerary for only some of the family members in a joint application.
- Internal flights mentioned in the cover letter but missing from the documents, or the reverse.
- An unverifiable document. The booking reference should open on the airline's website; anything else is a liability.
- Changing the plan after submission without telling the consulate when the change is substantial.
Once your dates and cities are settled, a held reservation for that exact routing can be ordered from Flight Dummy Tickets through the booking form: ₹799 / $10 per passenger for one-way, return or multi-city reservations, with multi-city available at the same flat price. The visa decision remains the consulate's.
Frequently asked questions
Should the itinerary include domestic flights within India?
Only if they are part of the same journey, such as Kochi to Delhi to Frankfurt. The officer is interested in the international entry and exit; a separate domestic leg to reach your departure city is not needed.
Do I need to show flights between European cities?
Show how you move between cities if your hotels are in more than one. A flight reservation, a train booking or a clear line in the day-wise plan in your cover letter all work. Check whether your consulate's checklist requests internal transport bookings specifically.
Can my itinerary dates be flexible, for example 'around mid-May'?
No. The application form requests specific arrival and departure dates and the visa is issued against them. Choose dates and keep every document consistent with them.
What if I apply for a multiple-entry visa?
Provide the itinerary for the first trip. Later trips are supported by your explanation and travel history, not by additional reservations, unless the checklist says otherwise.
