Proof of accommodation records where you will stay, while proof of onward travel records when you will leave. Visa officers and border staff review these together. Confirm that the cities and dates on the hotel bookings correspond to the flight itinerary. Missing nights or conflicting dates should be resolved prior to submission the documents.
| Accommodation proof | Hotel reservation, invitation letter or sponsor's undertaking |
|---|---|
| Travel proof | Return or onward flight reservation |
| Golden rule | Every night between arrival and departure is accounted for |
| Staying with family | Host's letter and address replace the hotel booking |
| FDT hotel add-on | ₹799 per hotel, per passenger |
Why they are checked as a pair
Each document answers a different question, and the answers have to describe the same trip. The flights fix the outer frame: you arrive on one date and leave on another. The accommodation fills the frame: a named place for each night in between. If the flights say Paris from 3 to 14 June and the hotel says Paris from 5 to 10 June, the officer is left wondering where you are for the other nights and whether either document reflects a real plan.
The same pairing appears at borders. Countries that admit Indians visa-free or on arrival commonly list a return or onward ticket and an address for the stay among the things an officer may request. The airline side of that is explained in onward travel proof explained.
Hotel reservation, invitation letter or sponsor letter
| Your situation | Usual accommodation proof | What it should show |
|---|---|---|
| Tourist staying in hotels or rentals | Reservation for each property | Guest names, property address, check-in and checkout dates, booking reference |
| Staying with relatives or friends | Invitation letter from the host | Host's full address, their status in the country, your relationship, the dates you will stay |
| Host or company is paying or guaranteeing your stay | Sponsor letter or the official form that country uses | Who bears the costs and where you will be housed |
| Business trip arranged by the inviting firm | Company invitation stating the hotel, or the hotel booking itself | Dates matching the meetings |
Several Schengen states have their own official sponsorship document for private visits, such as Germany's formal obligation (Verpflichtungserklärung) and France's attestation d'accueil, which the host obtains locally. Whether a plain letter is enough or the official form is required depends on the country, so follow the checklist of the consulate you are applying to.
You do not need a hotel booking for nights you spend with a host, and you should not submit one for show. Mixed trips are fine: four nights with your sister in Munich covered by her letter, then five nights in hotels covered by reservations.
Lining up the dates
- First check-in equals the arrival date at the destination, not the departure date from India. A flight leaving Mumbai at 02:00 lands the same day; one leaving at 23:30 lands the next.
- Last checkout equals the departure date. If your flight home leaves after midnight, the checkout is the previous calendar day and that is acceptable, because the night is spent at the airport and in the air.
- No unexplained nights. An overnight train or ferry between cities should be mentioned in the day-wise plan.
- No overlaps. Two hotels in different cities on the same night look careless.
- Guest names match passengers. Everyone on the flight reservation should appear on a hotel booking or in the host's letter.
Lining up the cities
The first hotel should be in or near the city you land in, and the last near the city you fly out of. If you land in Milan and your first booking is in Venice, add the train on that day to your plan so the jump is consistent.
For Schengen applications the hotel nights also determine which country is your main destination, and therefore which consulate should receive the file. Count the nights per country from your accommodation proof and confirm the result points to the country you are applying to. More on that logic is in flight itinerary for a visa application.
A multi-city example
Take a 10-night trip: fly Delhi to Amsterdam on 6 September, leave from Rome on 16 September.
- 6 to 9 September: Amsterdam hotel, 3 nights.
- 9 to 12 September: Paris hotel, 3 nights. Train from Amsterdam on the 9th.
- 12 to 16 September: Rome hotel, 4 nights. Flight from Paris on the 12th.
Italy has the most nights, so the application goes to Italy even though entry is through the Netherlands. The flight reservation is a multi-city booking into Amsterdam and out of Rome. The Paris to Rome flight can be part of the same reservation or shown separately. Insurance runs 6 to 16 September. Every date appears twice across the documents and agrees both times.
If you change one element later, such as dropping Paris, change all of them: hotels, internal travel, cover letter and the night count.
Getting both documents without paying in full
For hotels, many booking platforms offer free-cancellation rates, which give you a genuine reservation at no upfront cost if you watch the cancellation deadline. For flights, a held reservation avoids purchasing a fare before the decision.
Flight Dummy Tickets can issue both together so the names and dates come from one order: a flight reservation at ₹799 per passenger, and a hotel reservation add-on at ₹799 per hotel per passenger. On the booking form you enter each hotel's city with check-in and checkout dates next to the flights, which makes mismatches easy to catch before completing payment. A three-city trip like the example above needs three hotel entries.
Neither document guarantees a visa or entry. They show a coherent plan; the decision belongs to the consulate or the border officer.
Frequently asked questions
Do I need hotel bookings for the entire trip or only the first few nights?
For a visa application, cover every night with a reservation or a host's letter unless the official checklist says otherwise. For visa-free arrivals, officers typically want at least the address of your first stay, but having the full plan avoids arguments.
Can I submit an Airbnb or homestay booking as accommodation proof?
Generally yes, if the confirmation shows the guest names, the full address and the dates. Print the complete confirmation, not just the payment receipt.
My host's invitation covers the stay. Do I still need a flight reservation?
Yes. The invitation answers where you will stay. The flight reservation answers when you arrive and leave, and the dates in the letter should match it.
Is it a problem if my hotel booking is cancellable?
No. Consulates know applicants hold cancellable bookings until the visa is decided. What matters is that the reservation is genuine when you submit it.
Should the hotel reservation be in the name of every traveller?
It should list all guests, or at least state the lead guest and the number of occupants in a way that corresponds to your application. Separate rooms can be separate bookings.
