Order your reservation one or two days before the appointment rather than when you first reserve the slot. A held booking remains verifiable for approximately two weeks. A dummy ticket for a visa interview appointment ordered a month earlier may expire before submission. This guide also covers rescheduled appointments, urgent orders and the documents to carry.
| Best time to order | 1 to 2 days before the appointment |
|---|---|
| Verifiable window | Up to 2 weeks from issue |
| Schengen filing window | From 6 months to 15 days before travel |
| Same-day appointment | Delivery takes approximately 10 minutes after payment |
| If the slot moves | Beyond the window, order a fresh reservation |
Two different clocks: the trip date and the hold period
Applicants frequently confuse two dates. The travel date printed on the itinerary is your planned departure, which may be two months away. The hold period is how long the airline keeps the reservation alive in its system, which is approximately two weeks. The officer reads the first. The PNR check depends on the second.
So a reservation issued on 1 March for a flight on 20 April is fine at an appointment on 3 March. The same reservation shown at an appointment on 25 March will display the right dates on paper but may no longer be found on the airline's website. Plan around the hold period, not the trip date.
A working timeline for a centre appointment
- Book the slot first. At busy times the earliest appointment may be weeks away. Do not order anything yet.
- Fix your trip dates. For Schengen countries you can lodge the file from six months to 15 days before departure, and a decision typically takes up to 15 calendar days, longer in some cases. Choose travel dates that leave that margin after the appointment.
- Fill the application form with those arrival and departure dates.
- One or two days before the appointment, order the reservation with exactly the same dates, then buy travel insurance for the same period.
- The evening before, open the airline's Manage Booking page, enter the PNR and surname, and confirm it loads. Steps are in how to verify a PNR.
Ordering late has a second benefit: most of the two-week window then falls after submission, which is when a consulate that checks bookings would do so.
If the appointment is rescheduled or you miss it
Slots get moved by applicants and sometimes by the centre. What to do depends on the new date.
- Moved by a few days, still inside the hold period: keep the reservation. Re-validate the PNR the night before.
- Moved beyond the hold period: order a new one. Reusing a lapsed PNR is the most avoidable problem at a submission counter.
- Moved so far that the trip itself shifts: change the dates on the application form, the insurance, the hotel bookings and the leave letter together. A new itinerary with old dates everywhere else creates the mismatch officers notice.
If the centre turns you away for a missing document and gives you a slot the following week, the same rule applies: count the days from issue.
Interview, document submission or biometrics only
The word appointment covers three quite different visits, and the flight reservation plays a different part in each.
| Type of visit | Examples | Role of the reservation |
|---|---|---|
| Document submission at an application centre | Schengen states, Japan and others filed through VFS or BLS | Submitted with the file on the day. Timing against the appointment matters most here. |
| Biometrics after an online application | UK, Canada, Australia | Documents are uploaded online with the application. The biometrics visit only takes fingerprints and a photo, so time the reservation to the upload, if you include one at all. |
| Consular interview | USA: biometrics at a Visa Application Centre, then an interview at the consulate on a separate day | Not a required document. The officer decides mainly on the DS-160 and your answers. |
For a US interview, the State Department advises applicants not to make final travel plans or buy tickets until the visa is issued. An itinerary is optional there: carry one only if it helps you explain a specific trip, as described in our B1/B2 guide.
What to carry on the day
- The appointment letter and your passport, plus any old passports the checklist requests.
- A clear A4 printout of the itinerary showing passenger name, PNR, flight numbers and dates. Print it single-sided, since some centres scan each sheet.
- The same PDF on your phone, in case a page is rejected for print quality.
- Documents arranged in the checklist order, because counter staff tick items off in sequence.
Read the dates on the itinerary once against the application form, the insurance certificate and the hotel confirmation before you leave home. Counter staff at application centres do not decide the visa, but they do record deficiencies, and a date mismatch is easy for them to spot.
Appointment tomorrow morning, or in two hours
Last-minute slots open when other applicants cancel, and people take them with an incomplete file. A reservation is one of the few documents that can be produced quickly. FDT delivers a held airline booking by email and WhatsApp approximately 10 minutes after payment, at ₹799 per passenger, and support answers round the clock on +1 (786) 957-8117 if something needs fixing before you walk in. Order at the booking page.
Even in a hurry, do two things: type your name exactly as in the passport's machine-readable line, and validate the PNR on the airline's site before printing. Remember that it is a reservation and not a paid ticket, and that the decision belongs to the consulate alone.
Frequently asked questions
Should I order the reservation before or after booking the visa slot?
After. Book the slot, wait until one or two days before it, and then order. The hold lasts up to two weeks, so earlier orders may lapse before submission.
My reservation will expire while the consulate is still processing. Is that a problem?
A held booking cannot last through a long processing period, and consulates know reservations are temporary. Ordering just before submission gives the longest overlap. If the consulate requests an updated itinerary, send a fresh one.
Do I need to bring a flight itinerary to a UK or Canada biometrics appointment?
No. The biometrics visit only records fingerprints and a photograph. Supporting documents are uploaded with the online application beforehand.
The officer asked about my travel dates and they differ from my itinerary. What should I say?
Tell the truth: say what the current plan is and why it changed. Never present dates you do not intend to keep. If the plan has changed, correct the form and the itinerary before the appointment.
Can one reservation be used for two appointments at different consulates?
Only if both fall inside its verifiable period and the itinerary suits both applications. For a Schengen trip you apply to one country only, so this rarely arises.
